Our affiliates operate three tomato processing facilities in California, processing over 35% of California’s crop, plus tomato transplanting, harvesting, and trucking operations, employing approximately 600 year-round and 2,500 seasonal colleagues with annual sales of about $1 billion. At the Advocates for Self-Government, we help people understand where they fall on the political spectrum. We are home to the World’s Smallest Political Quiz, which is offered online, at events, and on school campuses through student organizers. Our quiz, a trusted resource for academics and the politically curious, has been taken more than thirty million times.

The Mission and Position

This colleague’s Mission is to contribute to the success of this multi-organization enterprise through the delivery of timely and accurate financial information to relevant colleagues, and by providing administrative support at the Downtown Sacramento office, including office coordination, reception, and customer service.

Specific activities and responsibilities include: 

BOOKKEEPING

Bookkeeping for several small nonprofit organizations, with a primary focus on Accounts Payable.

  • Accounts Payable: Receive invoices, verify details, obtain approval, enter in accounting system, process payments. Key aspects include matching invoices to receipts and/or receivers, ensuring accuracy, and managing cash needs.
     
  • Business Filings: Responsible for yearly business filings. Process issuance of 1099s; ensure accuracy, file with government agency, and mail to recipient by due date.
     
  • Cash Receipts: Record receipt of cash payments and ensure accuracy.
     
  • Banking: Prepare bank deposits and manage banking needs.
     
  • Clerical & Administrative Tasks: Perform data entry, generate reports, support expense reporting and receipt management, and research and resolve account discrepancies.
     

GENERAL ADMINISTRATION 

Office administration to maintain a well-functioning, welcoming, and productive environment. This role requires flexibility, initiative, and self-management to address a wide range of office needs while coordinating with colleagues to set priorities and advance our shared Mission.

  • Office & Facilities Coordination: Maintain a welcoming and organized office environment, liaise with building management, and ensure hospitality for guests and colleagues.
  • Communication & Document Management: Manage phones and correspondence; assist with scanning, filing, faxing, note-taking, and transcribing; handle sensitive materials with discretion.
     
  • Scheduling & Logistics: Support calendar coordination, meeting planning, and internal events, including ordering supplies and managing catering or vendor needs.
     
  • Procurement & Inventory: Monitor supply needs and coordinate purchases to support operational goals and colleague requests.
  • System Support & Reporting: Perform data entry, record updates, and maintain accuracy across spreadsheets, hiring systems, and document repositories.
  • Donor & Customer Support: Assist with donor communications, contribution processing, thank you letters, and fulfillment of customer orders or inquiries.
  • Mail, Shipping & Fulfillment: Manage incoming/outgoing mail, basic shipping needs, occasional mail merges, and fulfillment of customer or donor product orders.

Compensation: Compensation will be competitive, commensurate with specific experience and relevant credentials. The starting wage for this role will be $30 to $35 per hour, depending on qualifications. 

Benefits: This is a contract-to-hire position. After the contract period, hired colleagues will receive a comprehensive benefits package.
